AI Ready Model - Use case roll-out

After having tested your AI technology and verified your assumptions through a Proof of Concept (PoC), it is time to advance to the "Use Case Roll-Out" phase. This step is often overlooked in tech-driven projects. After validation and gaining organisational acceptance, tech teams often jump to the next challenge, neglecting to establish frameworks for maintenance and change management.

Establishing a framework

Once you have successfully tested your ideas and AI tech within the organisation and been able to verify that your assumptions or estimations actually work in real life through a Proof of Concept (PoC), it is time to move one step further in the AI Ready Modell process part. As we do this, we enter the ”Use Case Roll-Out” phase of our model. We decided to include this step in the implementation process as we believe this is a phase that is often overseen in tech-driven business change projects. 

Once assumptions have been verified and there seems to be acceptance within the organisation for new tech, way of working or whatever is included, the tech people and drivers of the project tend to jump directly to the next use case or challenge. Doing so, they often forget to form or establish a framework for taking care of the continuation of the implementation through solid and thought-through maintenance and change management routines. 

This often results in successful PoCs never reaching its full potential or just being thrown in the trash-bin, where we rather would like to consider PoCs as the first step in a succesful roll-out. To us, the investments done in a PoC should be taken care of and be treated as the good example that they are intended to.

Supporting the roll-out

To high-light this and remind those responsible for your AI initiative to take care of the work done in the PoC, we have inserted the ”Use Case Roll-Out” phase in our AI Ready Model. During this phase, we urge change managers, project managers or whoever is in charge of the initiative, to make sure to establish routines to support the further roll-out of the verified AI use case in the larger organisation. 

This includes a roll-out plan with training, documentation, support and maintenance/change management routines for a longer commitment. In short, you should view this as a roll-out of a production application with all the attached routines that comes with that.

Prepare for AI implementations

Included in the use case roll-out is also integrating the application in operational routines and infrastructure. This also means that the organization will have to be prepared for further use cases following the first actual use case roll-out. The benefit of this is that with this methodology we will also allow for the operations department (or whoever is in charge of production platforms in your organization) to prepare for coming AI implementations and adopt to new tooling, technology, processes and so forth. 

Fulfilling the implementation of the PoC creates an agile approach to the whole process of making your AI initiative and technology production ready, at the same time as you don’t waste the effort, energy and other resources that has been invested in the PoC phase.

Smoothening the process

With the addition of the ”Use case roll-out” phase, the model adds a step to smoothen the process of continuously build and deploy new PoC cases to your production environment in a more seamless way than used to be the case when we had brick-walls between development and operations departments.
